Calendar and Meeting Management
 
- Complex Calendar Coordination: Skillfully manage intricate calendars, deftly resolving multiple and urgent meeting conflicts. Set up both internal and external meetings, along with conference calls, taking care of all logistical details such as venue arrangements, equipment setup, and attendee invitations.
 
Multitasking and Adaptability
 
- Pace and Priority Handling: Thrive in a fast-paced, ever-changing work environment. Effectively juggle multiple priorities with a composed, professional, and eager attitude. Adapt to sudden changes in schedules or tasks without missing a beat.
 
Telephone and Communication Management
 
- Professional Phone Handling: Provide reliable telephone coverage, answering calls in a professional manner. Address inquiries, resolve issues, or redirect calls appropriately. Ensure that messages are distributed promptly and accurately.
 
Travel Arrangements
 
- Comprehensive Travel Planning: Coordinate all aspects of travel arrangements, including booking flights, reserving hotel accommodations, and arranging ground transportation. Prepare detailed travel itineraries, assist with obtaining necessary travel visas and documents, and guarantee that travel plans and tickets are delivered accurately and on time to travelers.
 
Invoice and Expense Processing
 
- Efficient Expense Management: Timely process invoices and travel & expense claims for team members. Make sure all submissions comply with company policies and are processed within the provided guidelines. Serve as an expert resource for policy-related questions and procedural matters.
 
Support and Ad-Hoc Tasks
 
- Project and Task Support: Lend a hand with overflow work, special projects, and provide back-up support to other admins. Handle day-to-day administrative tasks with precision and efficiency.
 
- Superior-Assigned Tasks: Complete any other tasks assigned by superiors or management, demonstrating your flexibility and commitment to the team's success.

                    

Requirements

Work Experience: Have at least 2 years of administrative experience, preferably in manufacturing companies. Experience working with manufacturers from China is a plus. Your prior experience will enable you to quickly adapt to the unique demands of our industry.
 
- Interpersonal Skills: Exhibit strong interpersonal and partnership-building skills. You should be able to develop positive relationships with peers, clients, and other stakeholders, fostering a collaborative work environment.
 
- Organizational Skills: Possess advanced organizational skills, with the ability to connect the dots and identify potential issues. Know when and how to escalate matters to ensure smooth operations.
 
- Confidentiality and Judgment: Exercise discretion and good judgment in handling confidential information. Have a proven track record of interacting effectively with senior management.
 
- Adaptability: Be able to adapt procedures, processes, and techniques to complete assignments efficiently. Embrace new ways of working and be open to learning and growth.
 
- Responsibility-Taking: Be open to taking on increased or new responsibilities at any time, showing your willingness to contribute to the company's evolving needs.

Preferred Qualifications, Capabilities, And Skills
 
- Educational Background: Hold a Diploma or above, with a Bachelor’s Degree being preferred. Your educational achievements will add depth to your administrative capabilities.
 
- Language Proficiency: Be fluent in verbal and written English, Chinese, and Malay. This multi-lingual ability will enhance your communication effectiveness and open up more opportunities for cross-cultural collaboration.
