Job description
*Monitoring and Coordinating:
Responsible for sales & cost coordinating, monitoring and updating through Master Sales File and Project Management(Autocount) for the sales team
*Maintaining Sales & Cost Database:
Responsible for updating and reporting the sales and cost database monthly & circulating to the team (Master Sales File)
*Autocount System:
- Monitoring all the Open documents in the system especially for Open Sales Order, Open Purchase Order, Open Delivery Order & Open A/R Invoice
- Responsible for creating an Inventory Code, Project Code as to maintain the sequence in the system and as to follow the requirements by company
*Purchase Order:
- Responsible to request for a Purchase Order issuance to the Account team from the sales team after verification & approval is completed
- Communicating with suppliers to track the status of orders and resolve any issues.
- Coordinating the logistics of shipping items to customers, including arranging for transportation and handling any shipping issues.
*Vendor’s Invoice Verification:
- Submission of vendor’s invoices after verification and approval is completed for payment formalities to the respective department
*Customer’s Billing Submission:
- Compile all necessary documents(DO, service report, & etc) for Invoicing procedure
- Responsible for requesting for an Invoice, Credit Note (if any) issuance to the Account team after ensure completed documentation given from the sales team
*Other general duties:
- Any other instruction given by the superior
Requirements
- Previous experience in a sales support, coordination, or administrative role.
- Strong organizational skills and attention to detail.
- Excellent communication skills, both verbal and written.
- Ability to work effectively under pressure and meet deadlines.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and CRM software.
- Team player with a positive attitude and willingness to take initiative.
- Diploma in business, marketing, or a related field (preferred but not required).
